Minutes of Meeting held on April 12, 2026

NRVP President Sri Sarad Kumar Mirani presided over the meeting. The meeting focused primarily on planning for the upcoming Reunion, along with discussions on registration, food management, publications, sponsorship, and infrastructure.

  1. Opening Remarks
    The President welcomed all members. He emphasized the importance of the meeting given that Reunion planning was the primary agenda. He reiterated his request that members take up NRVP responsibilities keeping their availability and other commitments in mind.
  2. Reunion — Registration and Database Management
    Extensive discussion was held on improving Reunion registration and participation:

    • Decade coordinators were tasked with collating master data of all ex-students and submitting the same by May 31. Once this database is ready, the association will move to online registration for the Reunion.
    • Sri Suvadeep Sarkar emphasized the importance of having a solid and well-maintained database as the foundation for all outreach and registration activity.
    • Sri Suvadeep Sarkar and Sri Debabrata Roychowdhury had earlier proposed mandatory online pre-registration with a strict cutoff date. This was reaffirmed.
    • It was noted that food coupons would continue to be issued as hard copies and distributed in person. Sri Shrotam Mahato proposed the use of QR codes to streamline the process.
    • In response to a proposal that breakfast is served at Aam BAgan instead of the VC Hall backyard, Sri Akash Dasgupta from the 2013 batch raised the concern that locating registration and breakfast at Aam Bagan may reduce footfall at the main programme. This was noted for further deliberation.
    • A welcome kit for registered Praktanis was proposed.
  3. Reunion — Free Lunch and Life Member Privileges
    The question of free lunch coupons for life members was revisited:

    • The Secretary proposed that all food coupons be made paid. This matter was deferred to the next AGM for a formal decision.
    • Sri Amitabha Bhattacharya and Sri Prodyot Mazumder raised the concern that free lunch is the only exclusive privilege of life members, and the commitment made to them must be honoured. Sri Sarad Kumar Mirani proposed a middle ground — offering half-price coupons for life members.
    • Sri Sachidnanda Chaudhury (1966 batch) supported the idea of paid coupons and called for clarity regarding any age-based exemptions for children.
  4. Reunion — Breakfast Arrangements
    • The issue of breakfast timing was discussed at length, drawing on last year’s experience where the breakfast counter closed half an hour before the programme, causing displeasure.
    • The idea of packed breakfast was discarded. Breakfast to be served on the spot.
    • Sri Tirthankar Debnath proposed shifting the breakfast venue to Aam Bagan, and suggested that after a stipulated time, breakfast be made available at a paid counter.
    • The 1987 batch offered to sponsor breakfast for the Reunion.
    • Sri Abhayashankar Chakraborty proposed that a tea and coffee counter continue to be available throughout the event. He also hughligted the success of the online registration system introduced by Mahavidyalaya Praktani.
  5. Reunion — Programme and Venue
    • The main programme was proposed to be held at VC Hall from 11 AM to 12 PM. The Chief Guest was proposed to be Swami Dibyananda ji Maharaj.
    • Sri Aruni Chakraborty proposed that retired staff members be seated on the dais.
    • Backstage Management of the reunion programme: Sri Sarad Mirani, Sri Anirban Bagchi, Sri Indradeep Bhattacharyya
    • Sri Shivaji Basu Ray proposed that a board be displayed at the Reunion commemorating deceased Praktanis.
    • A musical programme at Aam Bagan like last year was proposed.
    • Parking arrangements were discussed; College Ground was proposed as the parking venue.
    • Venue for lunch was discussed, with Aban Udyan, Rabindra Udyan (proposed for 1961–75 batches), Gadadhar Bhavan, Mahavir Bhavan, and Vijnanananda Bhavan being considered.
    • Mutton or fish were proposed as menu options. Service by Class XI students was suggested, along with gate-manning arrangements. Separate venue for veg.
    • Food venue management committee was formed as follows — Sri Pinaki Nath Das, Sri Amitava Bhattacharya, Sri S M Ali Akbar, Sri Prodyot Mazumder, Sri Akash Dasgupta, Sri Sudipto Dutta, Sri Samiul Hussain
    • Lalbaba Rice will sponsor rice for the Reunion lunch.
  6. Reunion — Outdoor Space and Registration Area
    • Space management being a recurring challenge at Reunion registration, it was reiterated that utilising the open area in front of the new college building could help.
  7. Sraddha (Souvenir)
    • Discussion was held on whether Sraddha should follow a general format or be themed. The matter was left open.
    • Concerns were raised regarding the quality of output from Falguni Press. Both the President and Sri Chandan Das spoke about issues with the press. The members supported the idea of engaging an external press for better output.
    • Sri Aruni Chakraborty was proposed as Editor of Sraddha.
    • The Sraddha team was constituted as follows: Sri Chandan Das, Sri Nirmal Mirani, Sri Chinmoy Ghosh, Sri Soumyabrata Chaudhury, Sri Anirban Bagchi, and Sri Shrotam Mahato.
    • Advertisement of ₹10,000 per batch is to be expected.
    • The list of life members was decided to be removed from the newsletter.
  8. Sponsorship and Advertisement
    • Various avenues for advertisement and sponsorship were explored. Display boards were proposed by Sri Saswata Maity. Inviting automobile showrooms was suggested by Sri Tirthankar Debnath.
    • Website-based advertising was also discussed. It was noted that stalls had not proved financially viable in past years.
    • A Sponsorship Committee was formed comprising Sri Debabrata Roychowdhury, Sri Saswata Maity, Sri Tirthankar Debnath, Sri Deep Narayan Sarkar (subject to his approval), and Sri Somesh Bhattacharyya.
    •  Sri Shashanka Chatterjee, who did not want to record his attendance at the meeting, offered to individually sponsor the procurement of sanitary equipment.
  9. Reunion Logo
    The matter of designing a Reunion logo was raised and noted for follow-up. Sri Indradeep Bhattacharyya proposed that the logo be designed by Sri Kaustav Chakraborty. He had made the 2024 logo.
  10. Reunion Calendar
    A calendar featuring photographs taken by Praktanis was proposed. Sri Pinaki Nath Das proposed that photographs of the Holy Trio be retained in the calendar. The meeting concluded with a vote of thanks by the President.
